Joynit was selected by the City of Paris as the shared calendar for all events dedicated to French and international journalists covering the Paris 2024 Olympics.
The event calendar included 400 events over 2 weeks, for just over 2,000 journalists covering the Olympics.
Given that the Olympics are a global showcase and that events were for press from all over the world, the requirement level was high and objectives very specific.
The shared calendar was configured with clearly defined event types so that journalists and the administrative teams could easily identify upcoming events and filter them with visible color codes.
Additionally, a sub-calendar was used to segment events depending on whether they took place inside the press media center or externally. This allowed users to filter by event type and view either both calendars, or just one of them.
The shared events calendar allowed both Open Events (visible to all) and Restricted Events, visible only to admins and selected guests. Restricted events could be used for VIP-only invitations.
Clicking an event opens an interactive event page, showing all relevant details: date, time, venue, address, and a presentation image. It is also possible to attach documents and photos to the event page.

For the Paris 2024 Olympics, not all events required prior registration. In each Joynit event’s settings, it was possible to choose whether the “Join” (RSVP) button would be visible or not.
Also, the participant list needed to be visible to admins but not to journalists. Admins had the ability to export to Excel and add certain participants manually.
Joynit’s events calendar allows managing all these constraints via the settings for each event.
Another important aspect was the capacity limit for event registrations. The calendar clearly displayed when events were full. Joynit supports setting a maximum number of participants natively.

Journalists did not need a Joynit account to register for events. They could enter their email, first and last names.
To avoid re-entering details repeatedly, Joynit offered the option to create a secure account with a password, so that once logged in, participating in events could be done in one click.
With each registration, a confirmation email was sent to the participant, including an ICS file so the event could be automatically added to their default calendar.
However, in order to avoid having to enter the same information many times, Joynit offers the possibility of creating a secure account with a password, which allows you to register your participation in 1 click once connected.

During Paris 2024, accredited journalists had access to the dedicated Paris Media Center website. The events in the Joynit shared calendar were displayed directly on that site using Joynit’s iframe embed plugin.
Multiple views were available via the embedded calendar (calendar view, carousel view, upcoming events feed). It was very easy for journalists to check upcoming events at a glance directly from the official city website.
It was therefore very easy for journalists to see at a glance the next upcoming events directly from the official site of the city of Paris.
Organizers used a weekly planner view to get an overview of all scheduled events. Filters by event type (color codes) and by calendar/sub-calendar were a big help in preparing and organizing events.
The Joynit mobile app is available for free on iOS and Android. When signing up, a shared calendar access code (e.g. “JO2024”) could be entered to immediately access the full event calendar.
